Terms of Hire

Pricing: The hire charges are as stated on the invoice or quotation and are based on a single event day unless otherwise specified in writing. Multi-day hires will incur additional hire charges. All hired goods are subject to additional Transport & Handling charges and, where applicable, a Security Deposit. All prices are quoted in Sri Lankan Rupees (LKR) unless otherwise stated.

Transport & Handling: Transport & Handling charges are additional and are calculated based on the event location, quantity of items hired, venue access, installation requirements and collection arrangements. All hired items will only be delivered, installed, dismantled and collected by Mangala Sootra personnel. Self-collection or third-party transport of hired items is not permitted. The hirer is responsible for ensuring safe and unrestricted access for delivery and collection vehicles and crew. Any additional labour, waiting time, specialised equipment, ferry charges, parking fees, permits or venue-imposed costs required to complete delivery or collection shall be charged to the hirer.

Ordering, Advance Payments and Confirmation: A non-refundable advance payment equal to 50% of the total invoice is required to secure a booking. The advance payment must be received within seven (7) days of the quotation date. If payment is not received within this period, Mangala Sootra reserves the right to release the booking without further notice. A booking shall only be deemed confirmed once the advance payment has been received and cleared. The balance payment must be received no later than two (2) days prior to the event date. Bookings confirmed within fourteen (14) days of the event date require full payment at the time of confirmation. All invoices must be paid in full before delivery or installation of hired items.

Changes to Orders: Requests to amend an order are subject to product availability and operational requirements. Whilst every effort will be made to accommodate changes, amendments requested within two (2) days of the event cannot be guaranteed. Significant reductions in hired quantities may still be charged in full at the discretion of Mangala Sootra, as inventory will have been reserved exclusively for the booking.

Hire Period: Unless otherwise agreed in writing, the hire period is for a single event day. Responsibility for all hired items transfers to the hirer upon delivery and remains with the hirer until collection by Mangala Sootra.

Security Deposit: A Security Deposit may be required at the discretion of Mangala Sootra. The Security Deposit serves as security against loss, theft, damage, excessive cleaning requirements, missing components, late returns and any other costs arising during the hire period. The Security Deposit does not limit the hirer's liability. Where repair or replacement costs exceed the Security Deposit held, the hirer agrees to pay the balance upon demand. Security Deposit refunds will be processed within seven (7) days following collection and inspection of all hired items, less any applicable repair, replacement, cleaning, transport, waiting or late charges. All Security Deposit refunds will be made via bank transfer only.

Care of Hired Items: The hirer is responsible for taking reasonable care of all hired items throughout the hire period. Items must be protected from theft, rain, excessive sunlight, moisture, strong winds and any other environmental conditions that may cause damage. Furniture and décor hired for outdoor events must be placed under suitable cover where weather conditions require.Items must only be used for their intended purpose and within their designed capacity. The hirer shall not modify, dismantle, repair or relocate hired items without prior approval from Mangala Sootra.

Condition of Rental Items: The hirer acknowledges that all products supplied by Mangala Sootra are professional rental items intended for repeated commercial use. Whilst every effort is made to maintain items to the highest possible standard, minor scratches, surface marks, colour variations and signs of previous use may be present and are considered normal wear and tear.Such minor imperfections shall not constitute defects and shall not be grounds for rejection, discounts or refunds.

Damage, Loss & Theft: The hirer is responsible for any loss, theft or damage to hired items occurring during the hire period, regardless of cause, excluding reasonable wear and tear. Repair or replacement costs shall be determined solely by Mangala Sootra based on the cost of repair or replacement of the affected item. Where necessary, these costs may be deducted from the Security Deposit or invoiced separately.

Cancellation: The 50% advance payment is strictly non-refundable under any circumstances. Where cancellation occurs within forty-eight (48) hours of the scheduled event, any balance payments already made shall also be non-refundable. Mangala Sootra reserves the right to recover any third-party costs, labour or expenses specifically incurred for the booking.

Photography & Marketing: Mangala Sootra reserves the right to photograph and video all hired items before, during and after installation for marketing, promotional and portfolio purposes. Reasonable care will be taken to avoid identifiable images of guests wherever possible. If the hirer does not consent to the use of images featuring the event setup, this must be communicated in writing prior to confirmation of the booking.

Force Majeure: Mangala Sootra shall not be liable for any delay or failure to perform its obligations where such delay or failure results from circumstances beyond its reasonable control, including but not limited to extreme weather, floods, road closures, civil unrest, strikes, government restrictions, pandemics, accidents or vehicle breakdowns.

Release & Indemnity: The hirer agrees to indemnify and hold harmless Mangala Sootra, its directors, employees and contractors against all claims, actions, losses, damages, liabilities, expenses and legal costs arising from the use, misuse or possession of the hired items during the hire period.

Limitation of Liability: To the maximum extent permitted by law, Mangala Sootra's liability shall be limited to the total hire charges paid by the hirer. Mangala Sootra shall not be liable for any indirect or consequential loss, including but not limited to loss of income, business interruption, reputational damage or loss of opportunity.

Governing Law: These Terms & Conditions shall be governed by and interpreted in accordance with the laws of the Democratic Socialist Republic of Sri Lanka. Any dispute arising from these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of Sri Lanka.

Payment of the booking advance and/or acceptance of delivery of any hired items constitutes acceptance of these Terms & Conditions of Hire. 

The hirer acknowledges that they have read, understood and agreed to be bound by these Terms & Conditions.
